With the rise of Enterprise Resource Programs used in large-scale companies, there also came the need to find an open source alternative that was both scalable and compatible with a number of systems. In this regard, a number of more complex systems were developed—customer management systems, enterprise resource planning systems, all large-scale applications built into distinct modules. This modular construction allowed teams of developers to work more efficiently, as the end result would see each model integrated to one true system.

However, as it stands, there has not been an open source system developed that is purely dedicated to contract management software. At this point, the software does not exist (at least I could not find one ). A workaround to this is the use of another enterprise-level system that can respond to your specific needs in contract management. You can use any open-source document management software for your contract management needs. A few systems come to mind at this point, Nuxeo, Alfresco, Knowledge Tree, Xinco and the Owl Intranet Engine are all examples of systems that have document management capabilities.

Some of these open source applications even include document tracking capabilities and change logs in case any of the documents are edited. These systems also come with a fully working report generation tool, just in case you will need statistics on your document. 

So this topic is dedicated to your findings over the Internet for these types of systems as partial alternatives to commercial contract management softwares.

Basically most Contract Management Solutions in the market place will do the job. For those sales guys who might tell their prospects that theit Contract Management Solution is a significant different.....it's not true. Is all about tracking and tracing, reminders, renewals, cutting costs, more visibility and last but not least a central repository. But then the questions could look like:

  • Does it need to be well designed?
  • Does it need to be inexpensive?
  • Does it need to have a quick and easy Return on Investment?
  • Does it cut costs?
  • Does it need to be easy adopted by all users?
  • Do you need training for that?
  • Do you need to have IT knowledge/experience?
  • Does it need to be guarded 24/7 but still authorized accessible wherever you are?
  • Does it need to help you getting control over all your agreements, liabilities and obligations
  • Can you do it without change management?
  • Do you want desirable contracts being renewed on time........
  • ......and unwanted contracts are terminated immediately upon expiry?

There is a good solution that has been developed by a US Company, Advanced Contractor Cost Management (ACCM). The solution was developed in SAP Netweaver (Webdynpro) and focus's on the capturing/managing of the services provided and associated costs.
It integrates into the SAP Services Procurement process after the issue of the Purchase Order and allows the Vendor to submit the services performed (from the Contract or PO) through the Clients SAP Portal or Company website for approval and then electronically submit a Payment Request based on approved entries. It utilises the SAP Workflow functionality for approvals and the ERS functionality for payment.
It solution takes the data entry part of the process away from the Company, gives great real time cost capture and visibility and removes the problems associated with invoice mismatches. It also has some excellent reporting built in around PO usage, potential overspends and Vendor performance.
It has been shown to save a company between 5 and 10% of their services spend.
